What we process
The name and email in your enquiry, the details about your ancestors and family you share, and the documents and photographs you upload. Details needed for payment and the receipt. We never see or store your card number; Stripe processes the payment.
Why, and on what basis
To assess your enquiry and prepare a proposal (steps before a contract), to carry out the research and deliver the result (performance of the contract), to keep accounting and tax records (legal obligation), and where necessary to protect our rights (legitimate interest). We do not use your data for advertising and do not sell it.
Living relatives
A family tree may include living people. Their details are used only for your commission and are never placed in a public edition. The online book is private; only people you grant access can read it.
Access
Only researchers assigned to your case can open the enquiry and private documents. Documents open through short-lived signed links, and every connection is encrypted.
Who else receives data
Processors the service cannot run without: Hetzner Online GmbH (server hosting, EU data centres), Cloudflare, Inc. (domain and email forwarding), Google (the mailbox that receives mail sent to info@rodokniha.cz), Stripe Payments Europe (card payments) and Solitea, a. s. (invoices in iDoklad). Cloudflare and Google are US companies; transfers rely on the EU–US Data Privacy Framework.
How long we keep it
Files uploaded to an enquiry that was never sent are deleted after 24 hours. An enquiry that does not become a commission, with its attachments, is deleted within one year of our last contact. Commission files are kept while the work lasts and afterwards until you ask us to delete them. Payment records are kept for the period tax law requires.
Your rights
You may ask for access, correction, erasure or restriction, object to processing, and receive your data in a structured format. A whole case can be exported and, on request, deleted with its private images. Write to info@rodokniha.cz. You may complain to the Czech Office for Personal Data Protection (uoou.gov.cz).
Cookies
Only cookies the site needs to work: researcher sign-in and form protection. No analytics or advertising cookies.
